This role is integral to our Employee Benefits Attorneys, requiring exceptional document production skills, a willingness to embrace new technologies, and a proactive attitude.

Essential Job Duties:

  • Provide comprehensive administrative support, including both legal and non-legal processes, with a focus on delivering exceptional client service.
  • Prepare and draft correspondence, memos, and complex legal documents using word processing and document management systems.
  • Manage outgoing correspondence through various channels such as email, regular mail, overnight delivery, and fax; arrange specialized mail or courier services as needed.
  • Organize and prioritize ongoing client projects and handle dictation.
  • Proficiently use iPhone technology for various tasks.
  • Open new client matters and run conflicts checks.
  • Perform administrative tasks including reimbursements, coordinating travel, meetings, and conference calls, along with IT and facilities set-ups.
  • Assist with technology needs and utilize firm technology to complete tasks efficiently.
  • Organize and maintain electronic and physical files, ensuring daily compliance with firm guidelines.
  • Proofread and edit large, complex documents to ensure correct formatting, grammar, punctuation, and spelling, creating polished documents for attorney, client, or court use.
  • Answer and direct telephone calls for legal assignments, providing assistance as needed.
  • Manage scheduling of meetings, appointments, due dates, and client-related activities on electronic calendars for multiple legal assignments.
  • Maintain data in integrated databases that contain client and matter information, ensuring compliance with firm policies and procedures.
  • Maintain positive relations with external clients, internal clients, and co-workers, and contribute to the team by assisting with overflow and specialized tasks as needed.

Requirements & Qualifications:

  • High school diploma required; College degree preferred
  • Minimum of 2 years of document production experience preferred.
  • Highly proficient within all Microsoft Office products and document tools similar to Adobe.
  • Excellent clerical and communication skills with exceptional attention to detail.
  • Ability to prioritize work and balance multiple tasks and deadlines.
  • Ability to maintain a professional demeanor, exhibit sound judgment, use discretion, and maintain confidentiality.

Pay & Benefits:

  • $48,000 - 60,000 (negotiable on experienced)
