We are seeking a skilled Legal Assistant to join our esteemed legal team in Tampa, FL. The ideal candidate will have extensive experience in corporate and tax law and be focused on achieving long-term stability and professional growth.

Key Responsibilities:
  • Schedule Management: Manage the day-to-day schedules of the attorneys. Proactivity and forward-thinking are crucial.
  • Document Preparation: Assist attorneys with preparing legal documents by creating, editing, and proofreading to ensure accuracy.
  • Calendar Maintenance: Maintain calendars, including appointments, meetings, travel, and trip plans.
  • Data Management: Prepare and maintain spreadsheets and databases for legal files.
  • Expense Processing: Handle reimbursements, expense reports, and check requests.
  • Project Management: Effectively manage projects by meeting deadlines and conducting follow-ups as needed.
  • Time Entry: Input, review, edit, and close timekeepers' time entries through the firm's web-based time entry program using firm standards.
  • Billing: Handle monthly client billing, review billing prebills for accuracy and completeness, perform client, matter, and timekeeper inquiries, and narrative edits.
  • Matter Management: Open new matters, generate client conflict checks, and set up and maintain timekeepers' work files, including daily and regular filing. Index and prepare files for off-site storage.
  • Confidentiality: Maintain the highest level of confidentiality of all Firm and client information, records, and files, both within and outside the Firm.

Qualifications & Requirements:
  • Minimum of 3 years of current transactional experience in the corporate area.
  • Proficiency in Microsoft Word, Excel, Outlook, and PowerPoint.
  • Experience with document management systems and time entry systems.
  • Excellent grammar, spelling, punctuation, and communication skills (both written and verbal).
  • Strong organizational and analytical skills with meticulous attention to detail.
  • Flexible attitude and the ability to adapt to changing assignments and priorities.
  • Client-oriented focus.
  • Billing experience preferred (including electronic billing).
  • Law firm experience preferred but not required.
  • College degree preferred but not required.

Pay & Benefits:
  • $65,000 - $90,000 (base pay negotiable on experience)
