As a Litigation Legal Assistant, you will provide essential administrative and clerical support to one Partner and one Associate Attorney. Your role will involve managing a substantial caseload, assisting with legal documentation, and ensuring efficient operation within the legal team.

Key Responsibilities:

  • Draft, edit, and finalize pleadings, contracts, settlement agreements, and correspondence.
  • E-file documents in both state and federal courts.
  • Prepare cases for arbitration with the American Arbitration Association.
  • Prepare and manage out-of-state subpoenas.
  • Enter attorney time in TABS3 billing software.
  • Coordinate travel arrangements and handle reimbursement processes.
  • Maintain and organize legal files and documents.
  • Produce responsive documents and review case files.
  • Prepare exhibits and monitor attorney CLE credits, inputting data into the Florida Bar website.
  • Handle client communications and schedule mediations, hearings, depositions, and meetings.
  • Maintain file status spreadsheets and assist with real estate closings.
  • Perform light estate planning tasks and other duties as requested by attorneys.

Administrative Duties:

  • Provide broad administrative support for attorneys and assigned staff.
  • Demonstrate efficiency in supporting a larger group of timekeepers and administrative personnel.
  • Draft and analyze discovery responses and legal pleadings, ensuring accuracy in proofreading.
  • Manage complex document production for litigation cases.
  • File documents electronically and retrieve court dockets from various online databases.
  • Delegate and input time entries, track work in progress, and review pre-bills for Accounting.
  • Maintain calendars, schedule meetings, and manage virtual hearings and court deadlines.
  • Coordinate travel arrangements and assist with the conflicts process.
  • Answer telephones and interact with clients, outside counsel, and other parties.
  • Maintain and update contact lists, coordinate mailings, and retrieve information from online resources and databases.
  • Assist with administrative tasks related to attorney compliance and professional organizations.
  • Maintain confidentiality in handling sensitive information.

Requirements:

  • High School Diploma required; an Associate or college-level degree in legal studies is strongly preferred.
  • Minimum of 3 years of Litigation experience required, including familiarity with the Rules of Civil Procedure and drafting pleadings.
  • Intermediate to advanced technical skills in Microsoft 365, Excel, Word, and Adobe Pro.
  • Strong organizational, delegation, and communication skills with excellent attention to detail.
  • Ability to type a minimum of 60 words per minute.
  • Capability to lift and carry up to 25 lbs. of file folders.

Job Type: Full-time

Pay: $75,000.00 - $85,000.00 per year
